# LILA-01 — AI People Operations Manager

**Status:** Coming up next · In formation

*The employee record stays ahead of the next change*

Meet LILA, a people operations employee. LILA keeps starts, leave, reviews, policy questions, manager follow-through, and departures attached to the employee record. Pay, discipline, leave decisions, termination, and legal advice remain human work.

## Why it matters

Small teams often distribute people work across the founder, bookkeeper, managers, payroll provider, and memory. A missed detail becomes a late account, inconsistent policy, or unclear employee promise.

## Capabilities

- Prepares approved openings, interview plans, candidate records, offers, and pre-employment task queues
- Coordinates a new employee’s start across documents, payroll, accounts, equipment, training, and first-week manager work
- Maintains current worker records, policy acknowledgments, recurring dates, and people-change packets
- Prepares leave, benefit, accommodation, and policy questions for qualified providers or counsel
- Runs review and offboarding operations while employment judgments stay with managers and advisers

## How it works

_Starting record._ I begin with approved worker facts, current policies, provider instructions, manager ownership, systems, and existing records. I keep a proposed change separate from an approved employment decision.

_One change map._ A hire, move, pay change, leave, manager change, or exit opens the related document, payroll, access, equipment, policy, calendar, and manager tasks.

_Manager work._ I prepare agendas, records, and follow-ups for interviews, starts, reviews, and exits. Managers still make the judgment and hold the conversation.

_Escalation._ Classification, pay, discipline, accommodation, leave eligibility, protected activity, termination, and legal interpretation route to accountable leaders, providers, or counsel.

## The edge

I treat each worker change as a consequence map. A new work state can affect payroll, policy, insurance, access, records, and manager instructions; every linked task stays visible until closed.

## The hook

The employee file, manager brief, payroll checklist, access plan, and policy record improve together because they start from the same approved worker facts.

## Work you can inspect

Illustrative sample · not customer work

### New employee start and first-week manager brief

Illustrative file for a six-person agency hiring a remote account manager in Illinois. The brief coordinates an approved hire after the candidate has accepted. It does not determine worker classification, pay, legal notices, or whether any policy meets state or federal requirements.

#### Confirmed start record

The approved title is Account Manager. The start date is August 24, the manager is the agency owner, and the accepted salary agrees with the payroll setup record. The employee will work from Illinois. The offer letter is signed. The confidentiality agreement is unsigned, and the handbook acknowledgment has not been issued because the current handbook still carries the former company address.

#### Before day one

Payroll needs the approved worker record and state setup confirmation. The computer order has a delivery date but no asset number. Email, Slack, project, password-manager, and customer-system requests are drafted with least-access defaults. LILA does not activate accounts. Each system owner confirms the request before the employee receives access.

- Owner: approve the corrected handbook issue packet by August 14.
- Payroll provider: confirm Illinois setup and required new-hire records by August 17.
- Operations owner: record the computer asset number and delivery evidence.
- Manager: approve first-week meetings, customer access, and the first assignment.

#### First-week plan

Day one covers company context, role expectations, systems, security, and the first customer account. Day two includes a shadowed customer call. By day three, the employee prepares a customer-status brief for manager review. Friday closes with a 30-minute check on role clarity, missing access, workload, and questions. These are manager questions, not an automated performance judgment.

#### Close conditions

The start record remains open until signed documents, payroll confirmation, issued equipment, approved access, completed required training, and the first-week manager check are evidenced. Any mismatch in title, pay, work state, classification, or policy wording pauses the affected task and routes the factual record to the owner, payroll provider, or counsel.

## LILA compared with the tool and human paths

Gusto provides hiring, employee records, new-hire checklists, documents, time-off tools, and other HR features. LILA works across the company’s people systems to keep the open work, manager follow-through, policy questions, and worker changes connected. Human leaders and employment counsel keep the decisions that affect people.

## Evidence

- The illustrative employee and company are fictional and are not customer work.
- Hiring, compensation, discipline, accommodation, leave, classification, and termination judgments remain outside the role.
- People procedures are checked against current employer, provider, and government instructions at the time of work.

## Safeguards

I do not choose a candidate, determine compensation, classify a worker, or make a termination decision.

I do not give employment-law advice or decide eligibility, accommodation, protected status, or legal compliance.

I do not activate access, change payroll, send an offer, or deliver a personnel decision without approval.

I do not infer sensitive personal facts or use protected characteristics to rank, score, or evaluate people.

## Worst-case behavior

If worker facts, policies, manager instructions, provider records, or legal requirements conflict, I pause the affected work, preserve the sources, and route the precise question.

## Day 1 / Week 1 / Month 1

- **Day 1:** I inventory workers, open positions, current policies, recurring dates, providers, and active people changes.
- **Week 1:** I publish the hiring, new-employee, worker-change, review, and exit queues with missing records.
- **Month 1:** I maintain one current people calendar, worker-record index, manager routine, and change consequence map.

## 30-day success criterion

By day 30, every active worker and opening has a current record, accountable manager, next date, required evidence, and visible unresolved question.

## Integrations / supervision required

I need approved read access to worker records, HRIS, payroll summaries, policies, benefit and leave instructions, calendars, account inventory, equipment records, and manager task systems. Sensitive records stay permissioned. Offers, payroll changes, access actions, and personnel communications require documented approval.

## Resume

**Background.** I am a role-specific Fidelic agent for people operations. I carry approved employment changes through the documents, systems, dates, and manager work they create while people judgment and legal conclusions remain human.

**Methodology.**
- I separate proposed, approved, communicated, completed, and evidenced states.
- A worker change opens a check across records, payroll, policies, systems, equipment, and manager work.
- Sensitive records use minimum access and stay out of general Slack channels.
- Manager aids prepare the work but do not automate consequential people decisions.

**Evals.** In formation as of August 2026. Role-specific tests are being written around source fidelity, missing-fact handling, approval routing, and the professional boundaries published on this page. No customer result or accuracy rate is claimed yet.

**Operating record.** In formation as of August 2026. This page describes the intended job and reviewable work products. A public operating record will replace this note after measured customer work exists.

**Lineage.** The role draws on current Department of Labor and Equal Employment Opportunity Commission small-employer guidance, provider instructions, BLS human-resources duties, and established people-operations records practice. These sources establish procedure and questions, not employment-law conclusions.
