A business insurance policy review should compare the company operating today with the policies, endorsements, schedules, limits, contracts, and applications on record. The policy may be current while the business facts are not. A new service, customer contract, vehicle, location, employee, subcontractor, piece of equipment, or cyber practice can change the questions that belong in the renewal. Reading the declarations page alone does not establish what a policy covers in a particular claim.

## Review the business before you review the policy.

Write what changed since the last application, quote, or renewal. Cover services and products, customer types, contracts, payroll, employee locations, subcontractors, revenue, property, equipment, vehicles, travel, data, payments, security practices, leases, loans, claims, and new legal requirements. Put a date and source beside each fact. The review begins with the company the insurer is being asked to cover.

Then inventory the complete policy record: declarations, coverage forms, endorsements, exclusions, schedules, certificates, applications and representations, audit notices, cancellation or nonrenewal notices, claim correspondence, proposals, and binders. Do not assume the declarations page lists every condition or change. Preserve the form number, edition date, policy period, insured parties shown on the policy, carrier, and state.

It also says businesses should discuss changed equipment or operations with the agent. That makes the business-change log the first useful artifact, not a generic checklist of policy names.

Compare customer and lease requirements with the actual policy record, but write differences as questions. A certificate request, additional-insured requirement, waiver, limit, primary-and-noncontributory clause, cyber term, or professional-liability requirement may depend on exact wording and issued endorsements. Ask the licensed professional to confirm whether and how the policy responds.

## Use a general AI assistant as a document indexer, not an insurance adviser.

Insurance files can contain payroll, revenue, claims, employee, vehicle, property, security, and customer information. Before any upload, check company policy, sharing authority, the approved account, and current retention and data-use terms. For approved documents, give the assistant a fixed extraction form: document and form number, edition date, policy period, insured parties shown on the policy, carrier, section or endorsement, exact source passage, proposed plain-language note, related schedule, and uncertainty. Ask it to list defined terms and cross-references, and to mark any missing form or endorsement. Require “not established” instead of an inferred coverage answer.

Next provide a redacted business-change list and contract-requirement list. Ask for a question table, not a recommendation table: changed fact, possible policy area, source currently on record, missing document, question for the licensed professional, and urgency. The model may help locate where to ask. It cannot say that a loss is covered, that a limit is adequate, or that a requirement is satisfied.

## Hire for authority, market access, and service after the quote.

A producer is the state-regulated person who sells, solicits, or negotiates insurance. The large supply does not answer fit. Verify the person’s state, license status, lines of authority, industry experience, carriers, compensation, response expectations, claims support, certificate service, and who actually maintains the account.

A fee-only consultant may reduce a commission concern, but do not assume the title avoids state rules; verify the authority required for the actual work.

One current fee-only example, [Business Insurance Advisors](https://bizinsadvisors.com/), describes policy review, renewal oversight, and contract-requirement work without policy commissions, while positioning the service as complementary to the buyer’s agent. Whether that model fits depends on the state, license, scope, policy complexity, and whether the buyer needs advice, placement, or an independent second opinion.

Reddit comments are not a performance study, but they reveal the interview questions buyers use. In one [small-business broker discussion](https://www.reddit.com/r/smallbusiness/comments/1hb6cze/what_do_you_look_for_in_an_insurance_broker_for/), peers emphasized industry knowledge, explanation, proactive review, and service rather than price alone. Use those as interview topics, then verify credentials and written scope independently.

## One renewal should produce questions from the business that exists now.

Suppose an eight-person professional-services company bought its current program two years ago. Since then it added two remote employees in another state, began handling customer payment data, signed a client contract requiring specific cyber and professional-liability terms, and allowed staff to use personal vehicles for occasional client visits.

The review does not declare four coverage gaps. It records the dated changes, finds the current policy forms and endorsements, maps the client requirements, identifies missing applications or schedules, and writes questions for the licensed producer: which states and people are reflected, how the policy treats the changed services and data, what evidence satisfies the client, and what information is needed for vehicle use.

The licensed professional explains options and obtains quotes. The owner decides. The issued policies and endorsements then replace proposals in the record, certificates are checked against the customer request, and the next review is tied to renewal and future business changes. ## Limits
